CYC FEE POLICY 2012
1. Registration Fee: This is an annual fee payable upon
booking your child into class to cover the 2012 year. This
registration fee comprises of your club membership along with an
insurance fee. The insurance fee is set by Gymnastics
Australia. It is a compulsory fee and is non-refundable and
non-transferable to another person. If your child joins CYC
in term 4, a reduction in the registration fee will be given.
Registration and Insurance fees for 2012 are:
$80.00 for 1 person
$125.00 for 2 members of the same family
$145.00 for 3 members of the same family
$165.00 for 4 members of the same family
$45.00 – Kindygym & Adult Gym only
2. General Gymnastic/General Trampoline/Kindergym Classes:
If your child is enrolled in these classes, you will be
invoiced for four (4) terms per year. The terms run for a
period of approx 10 weeks each (these are usually in line with the
public school term). The term dates for 2012 are as
follows:

Your term fees are determined by the amount of hours your child
trains.
3. Squad Classes: If your child is enrolled in our
squad classes, you are invoiced for four (4) terms per year.
The terms run for one week longer than the recreational classes.
This allows for the first week of holiday training per term.
The term dates for 2012 are as follows:

If your child is asked to do additional holiday training, a
separate invoice will be issued to cover only the additional
holiday training. This will be charged at $7.50 per hour, and
is due by the end of the first week of the new term. The WG
National Squads, MG Squads and Trampoline Squads are expected to
attend the first week of holiday training. If you do not
attend you are not entitled to a refund. Payment for the
first week may not carry over to the second week.
Your term fees are determined by the amount of hours your child
trains.
4. Hours of Training: Athletes are invited to join a
particular class or squad and must attend and pay for all the hours
set for that group. If athletes need to leave early or arrive
late, this does not entitle them to a fee reduction. Coaches are
booked for the entire session.
5. Public Holidays: There are no classes scheduled on
Public Holidays and this has been taken into account when setting
your term fees.
6. Maintenance and Equipment Levy: All CYC athletes are
required to pay a club maintenance and equipment levy upon
registration.
- $ 10 per term for athletes training 1-3 hours per week
- $ 50 in term 1 and $100 in term 3 for athletes training 4+
hours per week. The term 3 payment will be waived for
families who complete 4 hours work at any competition held at CYC
(this includes set up and pack up).
This levy is applied once per family, and will apply to your
child who is training the most sessions. This levy is
to ensure that CYC (a not-for-profit club) remains the premium
training facility in Victoria. For athletes training 4+ hours
a form, available at the office, must be filled out for all hours
volunteered to have the term 3 payment waived.
7. Fee Payments: All invoices will be distributed
prior to term commencement.
- If you have not received your invoice you are required to
contact the office and request a copy before your child’s first
training session.
- All training fees are due on, or before, the athlete’s first
training session of the term. Payments can be made by credit card,
eftpos, cheque, internet banking or in person at the
bank. No athlete will be allowed to train until the term fees
have been paid in full or an instalment plan is
activated.
- A 5% discount will apply to 2nd and 3rd
children from the same family. The discount will be applied
to the athlete(s) who train the least hours.
- CYC will only accept cash payments of $50 or less.
8. Fee Reduction:
- Athletes commencing with CYC part way into a term will only pay
for the weeks remaining from the start date.
- If your child is forced to miss training sessions for more than
three consecutive weeks due to an illness or injury, a 50% credit
for the time missed may be applicable for the following term
if a medical certificate is provided.
- If you are planning an extensive holiday (3 weeks or more), a
50% credit for the time missed may be applicable for the
following term. This will only be considered upon written
application to the committee, if the committee is notified prior to
leaving.
- Credits will be allocated to the athletes account for the
following term; refunds will not be given.
- For athletes who are asked to ‘sit out’ of class due to non
payment of fees, or for wearing incorrect training attire, will not
be entitled to a fee reduction.
9. Illness/injury: If your child is absent from
class due to an injury or illness there are no make up
sessions. (except as in item 8)
10. Holidays: If your child is absent from class
due to a family holiday or school camp there are no make up
sessions. (except as in item 8)
11. Make – up Classes: CYC does not offer make – up
classes. Exceptions will apply when the class is cancelled by the
club or the coach.
Any General Gymnastic/General Trampoline/Kindergym class
cancelled by the club or coach will be made up in the first week of
the school holidays on the same day and same time. If you
cannot make this there will be no refund.
Any squad class cancelled by the club or coach will be made up
in the first week of school holidays at a time specified by your
coach. If you cannot make this, there will be no
refund.
12. Heat Policy: There will be no training if the
weather forecast at 3pm on the Bureau Of Meteorology website is 35
degrees or above on the day of training. Make - up classes
are offered in the first week of the school holidays if training is
cancelled due to high temperatures.
13. Instalments: Applications to pay via
instalments will only be accepted on the Instalment Application
Form (available at front desk) prior to term commencement. To
be eligible to pay by instalments athletes must train for a minimum
of four (4) hours per week. Instalments may only be made in
four (4) equal payments, payable fortnightly, and due on the
following dates

14. Competitions: Competition fees will be invoiced
to you separately from your Term fees. Entry forms and
payment are due by the date indicated; approx 6 weeks before
gymnastics and state trampoline competitions and approx 3 weeks
before trampoline interclub competitions. Your child will not
be entered into the listed competition if your competition fees and
entry form are not in by the due date. Unfortunately, host
clubs will not refund competition fees. Full competition
attire must be worn at all competitions. This can be found in
the CYC handbook under uniform.
It is expected that squad athletes will enter all competitions
as directed by their coach.
CYC reserves the right to cancel any class that has insufficient
children enrolled.
Please note that any special circumstances will be considered if
put in writing to the Cheltenham Youth Club’s Committee.
